Treasurer:
The Treasurer is in charge of the organization’s funds and financial records. Here’s what that includes:
Keeping track of all funds, financial documents, and anything related to the organization's money
Making sure all money is safely deposited into accounts chosen by the Executive Committee
Making sure the organization receives any money it’s owed, and—when approved by the Executive Committee—handling or overseeing payments and expenses
Giving updates on the organization’s finances whenever the Executive Committee asks.
Making sure we file all required financial forms and reports, like tax returns (including IRS Form 990) and state fundraising paperwork
Taking care of any other money-related tasks that come with being Treasurer or requested by the President or Executive Committee
Sharing a financial report at the Annual Member Meeting. This report should cover the following items and will be included with the meeting notes: o What the organization owns and owes (assets and liabilities) as of the end of the last fiscal year;
What changed financially over that year;
How much money came in (including money for specific purposes); and
How the money was spent (for both general and specific purposes).
Secretary:
The Secretary is responsible for all non-financial records and documents and for all correspondence for the Executive Committee (officers) and to the Membership. Here’s what that includes:
Maintaining the database of membership contact information
Sending out all required notices, emails, and reports, and ensuring that all documents are properly filed in accordance with the Bylaws and applicable legal requirement;
Sending out meeting agendas and reminders
Recording and maintaining accurate minutes of all meetings of the Officers and Members, via Zoom.
Ensuring that all official notices and required reports are properly issued or filed
Taking care of any other secretary-related tasks that come with being Secretary or requested by the President or Executive Committee
Maintaining and updating the NRCCS website by collecting community information for webmaster to put on website
